Due to an internal promotion, KTrans are looking for an energetic Receptionist to join our Finance and Administration team who shares our common values of DISCIPLINE | LOYALTY | ACCOUNTABILITY | HONESTY | PRIDE.

The Role:

Based at our Kenwick corporate office the successful candidate will coordinate administrative functions in this key role.

  • Greeting all visitors, clients and employees into the business with a customer focus
  • Answer, screen and forward phone calls
  • Receive, sort and distribute mail/deliveries
  • Maintain office security by following safety procedures and controlling access via reception desk (logbook etc.)
  • Order office supplies and keep inventory of stock
  • Coordinate employee of the quarter and employee of the year process
  • Managing the employee amenities, including office and meeting rooms
  • Respond to general queries from both employees and clients/visitors
  • Perform other clerical receptionist duties
  • General administrative assistance to the Senior Leadership Team
  • Arrange travel, accommodation and prepare vouchers, as required
  • Preparation of meeting documents (agenda, action items and minutes) on behalf of the Directors
  • Assist the Finance team with administrative and transactional processing tasks
  • Performing ad hoc duties and tasks as assigned by the Directors, Head of Finance and Senior Leadership Team
  • Assist with the organisation of team and corporate events as required

Requirements:

  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills and attention to detail
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Ability to work independently and as part of a team
