Administrative Assistant

The primary responsibilities of an Administrative Assistant include but are not limited to:

         Manage professional and personal scheduling for the senior management team, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics;

         Coordinate scheduling and extensive calendar management, as well as management of content and flow of information to management;

         Manage, coordinate, and arrange the senior management team travel and travel-related activities, including hotel booking and transportation;

         Perform administrative and office support, such as finalising presentations, preparing correspondence and prepare briefing packs, reports and papers;

         Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business;

         Organize team activities and plan events, both internally and offsite; and

         Coordinate effective meetings by organising and collating meeting agendas and providing confidential minute taking when required. This includes room bookings and equipment set up such as teleconferencing, data projector and refreshments.

         Substantial experience supporting a senior management team or equivalent;

         High degree of professionalism and judgement with the ability to maintain a high level of confidentiality;

         High-level written and oral communication skills and the ability to communicate and liaise effectively and sensitively at all levels, both internally and externally;

         Ability to balance conflicting priorities and to work to deadlines;

         Advanced knowledge and experience in MS Office and Outlook;

         Supports productive relationships with a demonstrated ability to work as part of a team and independently and with people at all levels;

         Experience in similar roles or another relevant field; and

         Minimum of 2 years experience in a support or administration role.

         Certificate IV in Business (Administration) preferred
